Confessions of the Web Conferencing Executive, Part I

Note: While this series of recently uncovered confessions may be true, some names have been changed to protect innocent and the unknowing.

It was late on a Wednesday night, really late. My wife was sleeping beside me, Charlie our chocolate lab at the food of the bed, and the boys fast asleep in their rooms. I lay there for a few more moments, enjoying the quiet, the calm before the storm. Carefully, silently, I pushed myself out of bed, slipping on my LL Bean’s, and quietly made my way down the stairs, to my office.

I turned on my laptop, and crept to the door and closed it. I did not want to wake anyone up with my late-night activities.  I sat down at the desk, put on my headset, and typed in the address of the website I frequented. It was 4:28AM in New York, but 8:28AM in London. Time for my daily dose of web conferencing.

Yes, the corporation I worked for is international, with offices all over Europe and Asia. Last year, we spent millions on executive meeting. While this was not something that hurt us financially, we actively looked for an alternative that did not disrupt our day-to-day operations. We tried conference calls and even a video conference but these tools were not always effective, viable, or as interactive as we wanted. We had to find a solution to the demands of a large scale international corporation.

It seemed hopeless. We recognized the need for a new technology, but there was nothing on the market. Collectively we discussed and brainstormed and researched. Years passed, and the technological limitations continued to frustrate us at all levels. We were successful, we met our goals and stock holder expectations, but internally we knew we could do better.

And then, one day, there it was: the solution we had been waiting for. Universally, we breathed a collective sigh of relief, and welcomed this new technology.

Web Conferencing to Close the Quarter, Part II

In the last post we talked about how web conferencing grew to be a crucial element in our business as we looked for ways to communicate better after we opened another location of our company. We were now on separate coasts from each other and those of us who were accustomed to working together on a daily basis had quite a bit of adjustment ahead of us. We began using web conferencing as a way to stay on the same page of projects that we were all involved in; rather than emailing questions and answers back and forth we could jump on a web conference, access the same document and discuss it together as if we were in a traditional meeting. It made things much more simplified and convenient.

We realized that using web conferencing would help us close out the last quarter as well - allowing both accounting departments to discuss important paperwork and make decisions on the spot. We have begun using web conference to that end; the accounting divisions have already had quite a few meetings in which they have access to pertinent documents and have gone back and forth asking and answering questions.

Through web conferencing, people in our company still feel as though they are very much working in their respective teams. They are able to meet on a frequent basis and get immediate answers to their questions without having to decipher emails or wait for phone calls.

The benefits will be huge to us as a company because web conferencing will allow us to operate independent of each other but still work as a team. We will continue to use web conference - and other technology available to us including conference calls and video conference - well into the future so that we can continue to operate at our most efficient.

Conference Calls for My Home Office, Part II

In the last post, I talked about my situation operating my business from my home. This was the best choice for me at the time that I started my business because it offered me the flexibility and cost-effectiveness that I needed to get my company off the ground and make my business work. I did have some challenges, however - as everyone does. My challenge was making sure that I remained in contact with my clients but without the office space that would allow me to conduct actual physical meetings. Sometimes it was necessary to meet in person and when it was necessary we often did just that in at my clients’ offices; my office, of course was not an option in terms of presenting a particular image. Oftentimes, however, meeting in person was not necessarily needed and, in fact, would only serve to slow the work process. That’s how web conferencing, conference calls and video conference came to play such an important role in my business.

As I talked about previously, conference calls quickly became my weekly standard because I could get everyone that I needed on the phone at the same time, update on project statuses and quickly ask and answer questions. This, of course, completely eliminated any worry about being in a home office because what difference did it make where I was if I was on the phone dealing with the business at hand? Other technology that has become irreplaceable for me include:

Web Conferencing - Oftentimes projects include physical information that exists on the computer. Now it’s easier than ever to share that information one desktop to another - beyond email. Through web conferencing I can set up a meeting time during which all invited participants login and immediately gain access to my desktop where I am able to present information to my clients and other team members over the phone or through the computer. We are all accessing the same information and it’s easy to make even huge presentations to a large group of people at the same time.

Video Conference - This technology has really come through for me in a big way when it comes to client pitches and important meetings that should really be done in person but just can’t be for a multitude of reasons. Video conference offers the additional benefit of being able to see the people in the meeting as well as hear them so it really gives me the personal contact that I need to establish a great relationship with my clients.
